If you are attending an event, these answers to frequently asked questions should help.



Frequent Questions & Answers

  1. What is the difference between our internal reservation system and our internet partner’s reservation system?
  2. Every event has one or more hotels pictured on its event page. These hotels have rooms blocked specifically for attendees of that event. Should those hotels fill or if you would like additional choices, our internet partner has additional hotels available. The difference between the two listings is that the hotels listed by our internet partner have not blocked rooms for the event therefore rates and availability are subject to change. Another difference is in their cancellation policy. Hotels reserved through our internet partners and then cancelled before the cancellation deadline will be charged a $25 cancellation fee.   3. Why are there two different toll free reservation numbers?
  4. Although you can make your reservations securely through the website, we also offer a toll free option. When choosing one of the hotels pictured on the event page, you can call our agents at 1-866-537-GAME(4263). That number is also located on the Hotel Information page beneath the red bar that says, "Book Online Now!" (see below)

    If you choose a hotel listed by our internet partner and wish to make your reservations by phone, please use the toll free number located at the top-right of the page (see below). Those numbers are 1-800-916-1085.

  5. Does MeetingTime Travel only work with certain hotels?
  6. MeetingTime Travel works with EVERY hotel across the country. We want to provide you with the best available hotel to fit your needs. Let us know what you are looking for and we will find it.

  7. Why should I go through MeetingTime Travel to book my hotel room?
  8. MeetingTime Travel is a service that teams and organizations use to save them time and money in an organized form (website). We want to make this the easiest process for the attendee. You will find that it is our goal to negotiate the best available rate for each hotel. We also offer Map Quest, Restaurant Row and the Weather Channel with the location of each event ready to go. We also make a donation back to your team or school for each room used.

  9. What is your cancellation policy?
  10. Hotel reservation cancellation policies differ from hotel to hotel but are generally between 24 and 48 hours before your scheduled check-in. To be safe, we recommend canceling 72 hours prior to your check-in. If you choose a hotel listed on your event page and cancel before the deadline you will receive a full refund. If you select a hotel using one of our internet partners and cancel before the deadline you will be charged a $25 cancellation fee.

  11. Is your website secure?
  12. MeetingTime's website uses 128-bit SSL Encryption from GoDaddy, an industry leader in security, ensuring that your sensitive data is safe.

  13. Are MeetingTime’s rates competitive?
  14. Our internet reservation partners, Expedia.com and Hotels.com, are two of the largest travel companies on the internet. Our reservation system, coupled with their buying power, assures that you are getting some of the best rates on the web.

  15. Can I use my frequent traveler programs when booking through MeetingTime?
  16. Yes. You can provide your program number at check-in and the hotel nights will be credited to your account. For airline credits, you can provide your numbers at flight check-in.

  17. Who chooses the hotels for an event?
  18. MeetingTime's Event Coordinators choose hotels based on quality, price and availability. We will only list hotels with a three star rating or higher. This assures that you are getting the best combination of price and quality. Sometimes an event will require that you stay at a specific hotel. Although we do not always have control over which hotel the event chooses to partner with, you can still use our site to make your reservation at that hotel.

  19. How many beds do the rooms have in them?
  20. We book rooms with two beds or one king-sized bed and a pull out sofa can be an option. There is a 4 person maximum for each room.
